Export your transcripts to Microsoft Word format (.docx) for editing, sharing with attorneys, or filing with courts that accept electronic documents.

How to Export DOCX

  1. Open your transcript in the editor
  2. Go to File → Export as DOCX
  3. Wait for the document to generate
  4. The file downloads automatically

What's Included

The DOCX export includes:

  • Cover page (if using a legal template)
  • Appearances (if configured)
  • Main transcript content
  • Certification page (if applicable)
  • Exhibit index (if exhibits are marked)

Formatting Preserved

The export preserves:

  • Text formatting - Bold, italic, underline
  • Indentation - Q/A and colloquy indents
  • Speaker labels - Proper formatting
  • Page breaks - Where inserted
  • Line spacing - As configured

Template-Based Export

When a DOCX template is attached to a Legal project, the export populates your template rather than generating a generic document. Your template controls:

  • Cover page — Your firm's letterhead, case caption format, and court styling
  • Appearances section — Attorney/party listing in your preferred layout
  • Proceedings section — Where the transcript content is inserted (at the {{TRANSCRIPT}} placeholder in your template)
  • Certification page — Your signature block and certification language
  • Exhibit index — Your firm's index format

The system detects each section automatically from your template's structure. The proceedings section is always located by finding the {{TRANSCRIPT}} placeholder.

Section-Scoped Styles

Each section in the exported DOCX inherits the styles defined in the corresponding section of your uploaded template. This means:

  • The cover page uses your cover page's font, margins, and spacing
  • The proceedings section uses Normal style with your tab stops (0.5in, 1.0in, 1.5in)
  • Speaker labels and Q/A indentation follow your template's paragraph styles

The AI formatter applies styles section by section — so a cover page heading won't accidentally pick up the proceedings body style, and vice versa.

Line Numbers

DOCX exports include proper line numbers at the industry-standard 25 lines per page. Line spacing is set to 504 twips (double-spaced) to maintain this count consistently across pages.

Line numbers appear in the left margin and reset at the top of each page, following legal transcript standards.

Export Options

Track Changes

  • Include — Shows revision marks in Word (useful when sharing drafts with attorneys)
  • Exclude — Exports a clean document with all accepted changes applied (use for final delivery)

Template Sections

For Legal projects:

  • Cover page is included if present in your template
  • Certification appears at end
  • Placeholders ({{CASE_NAME}}, {{DATE}}, etc.) are filled with your project details

Formatting Tips

Before Export

  1. Accept all track changes for a clean document
  2. Review formatting in the editor first
  3. Check speaker names are correct
  4. Verify placeholders are filled

After Export

The exported DOCX can be:

  • Opened in Microsoft Word, Google Docs, or LibreOffice
  • Further edited if needed
  • Converted to PDF from Word
  • Printed with proper formatting

Troubleshooting

Export Taking Too Long

For long documents:

  • Export may take 10-30 seconds
  • A loading indicator shows progress
  • Don't close the browser during export

Formatting Issues

If formatting looks wrong in Word:

  1. Check you're using a compatible Word version
  2. Try opening in Google Docs as an alternative
  3. Some complex formatting may need manual adjustment

Missing Sections

If sections are missing:

  1. Ensure you're using a Legal project type
  2. Check template is selected
  3. Verify section content exists in editor

Download Not Starting

If the download doesn't begin:

  1. Check browser download settings
  2. Allow downloads from heydonna.chat
  3. Check popup blocker isn't interfering
  4. Try a different browser

Best Practices

For Court Filing

  1. Export as DOCX
  2. Open in Word and verify formatting
  3. Save as PDF from Word for filing
  4. Keep DOCX as working copy

For Attorney Review

  1. Export with track changes (if applicable)
  2. Share the DOCX file
  3. Attorneys can add comments in Word

For Archival
